AutoFy Tech automates the messy middle of a company — lead in, appointment booked, invoice sent, report filed — so those steps run the same way every time. The point is save time and reduce cost without hiring a coordinator for every new channel.

Business automation is not a Zap for every annoyance. It is a designed path: how a lead is captured, qualified, assigned, followed up, booked, fulfilled, and reported. We cover the full revenue cycle: CRM, email, WhatsApp, appointments, documents, and the dashboards leadership actually opens.

We work in the CRM you already pay for, plus middleware such as n8n when the stack is mixed. Capture should be obvious: a form, a click-to-call, a chat, a WhatsApp link — then a workflow that does not drop the ball at 9pm. We do not use dark-pattern popups or a 4-second landing page as the front door.

The process is simple: get in contact, identify the gaps, ship a customised plan. Founders want the same reliability for support macros, proposal PDFs, and weekly KPI emails that they wanted for missed-call text-back. We treat those as one operating system, not eight disconnected “automations.”

Sales automation covers routing, sequences, task creation, and deal hygiene. We design stages that match how you actually sell, not a textbook funnel. When a lead hits a stage, the next action is created: a call task, a proposal reminder, a Slack ping. We stop “zombie deals” with idle timers. Reps keep a personal voice; the system stops the silence. We connect calendar, phone, and inbox so activity is logged without honour-system CRM. For teams on HubSpot or another CRM, we use native objects where they are strong and middleware where they are not.

Lead Automation

Capture, enrich, score, and respond in minutes — including after hours.

Lead automation is the 24/7 promise, implemented without a fake receptionist gimmick unless you need voice. Forms, GBP, chat, Facebook/Instagram ads, and inbound calls can all create the same contact record. Duplicate merging is mandatory. Speed-to-lead sequences fire immediately; if no one accepts the lead, it escalates. Scoring is simple on purpose: source, fit, and behaviour. Enrichment is used where it is legal and useful. “Never miss another lead” only holds if the lead is in the CRM with a next step, not sitting in a Facebook inbox.

CRM Automation

A CRM that stays true because the workflow writes to it, not because you nag the team.

CRM automation is field discipline. We pick a source of truth, lock what should be locked, and automate the updates humans forget: last activity, lifecycle stage, owner, and lost reasons. Pipelines are fewer and cleaner. Permissions match roles. We migrate messy pipelines with a mapping workshop so history is not fiction. Integrations write through the API, not CSV dumps. A CRM that is automated poorly becomes an expensive log. We would rather have twenty fields that are true than two hundred that are folklore.

Marketing Automation

Journeys that respect consent and timing — campaigns, not spam cannons.

Marketing automation is lifecycle email, retargeting audiences, and content drips that match the stage the CRM believes. We connect SEO and ads landing pages to the same objects as sales. Unsubscribe and preference centres are not optional. We measure conversion and list health, not send volume. The original “email sequences, customer journeys, and marketing campaigns for consistent engagement” offer is still here — implemented with templates your brand can live with, and with UTM discipline so SEO and paid are not arguing over the same lead.

Customer Support Automation

Tier-1 deflection with a clean handoff, macros, and a trail in the ticket.

Support automation tags, routes, and drafts. It does not pretend every customer wants a bot. We build macro libraries, SLA timers, and chatbot containment for questions your knowledge base already answers. Escalations include context so the human does not ask the customer to repeat themselves. We can add an AI draft layer from our AI practice, still with send-approval on sensitive queues. CSAT and handle time are the scoreboard, not “tickets closed by automation” as a vanity metric.

Appointment Automation

Booking, reminders, no-show recovery, and calendar rules that match how you actually work.

Appointments die in back-and-forth. We implement booking pages with real availability, buffers, round-robin, and time-zone honesty. Reminders go out on email and WhatsApp or SMS where you have consent. No-shows trigger a recovery sequence and a CRM note. For clinics and home services this is often the highest-ROI automation in the building. We respect staff calendars — no tool that double-books a person because nobody modelled travel time.

Email & WhatsApp Automation

Two-way messaging that stays compliant, threaded, and logged to the contact.

Email and WhatsApp are where customers already are. We design templates, opt-in, quiet hours, and handoff to a human mid-thread. WhatsApp is treated as a high-trust channel, not a blast list. Conversations write to the CRM. Media and voice notes have a plan. For email, we fix deliverability basics (SPF, DKIM, DMARC) before we scale volume — otherwise automation just trains Gmail to ignore you.

Document & Reporting Automation

Proposals, invoices, and weekly packs that generate themselves from live data.

Documents should not be a desktop scavenger hunt. We generate proposals, contracts, and invoices from CRM fields; store them; and request signature where needed. Reporting automation sends a Monday pack: pipeline, organic leads, support load, automation error rate. If a number cannot be produced without a hero in finance, we fix the source. Dashboards from our development practice often sit on top of these same queries. The goal is that leadership stops asking for “a quick export.”

    We build in a sandbox where we can, then go live with a rollback. Staff get a short training, not a 90-page manual.

    Failed runs, unsubscribe spikes, and no-show rates get owners. Automation that is not observed decays.

The first live workflow is almost always capture-and-respond: form, missed call, or chat into a CRM record plus an acknowledgement. “Never miss a lead” only means something if that path is boring. Once it is, we add sequences, appointment rules, and reporting.

Tooling follows the workflow. HubSpot remains a strong fit when sales leadership already lives there. n8n remains a strong fit when you have a mixed stack. We will not migrate you for sport.

Training is short and role-based. Reception needs the booking rules. Sales needs the pipeline exits. Marketing needs the consent fields. If a workflow requires a 40-page SOP, the workflow is wrong. We rewrite it until a new hire can run it in a week.

After go-live we watch failed runs the way an SRE watches errors. Automations rot when APIs change, when someone adds a required field, when a mailbox fills. A monthly hygiene hour is cheaper than a quarter of silent failure. That hour is part of how we keep the system you paid for.

Email and workflow automation are still the default first slice. WhatsApp, reporting, and AI drafts are added when the CRM is clean enough to deserve them.
